What needed solving

Apakonics was managing every client engagement through a tangle of emails, WhatsApp threads, and shared Google Sheets. Project approvals were slipping through the cracks. The team couldn't answer basic questions like "how many active projects do we have?" without spending an afternoon. How we approached it

Rather than build a generic CRM, we focused on the workflow that actually mattered: the architecture project lifecycle. We mapped Apakonics' real process across six client interviews and three internal workshops, then designed a portal that mirrored their phases exactly — from initial briefing through concept, technical drawings, approval cycles, and final delivery.

The portal had to serve two audiences with sharply different needs: clients who wanted progress visibility and easy approvals, and the internal team who needed efficient project management. We solved this by giving each audience a tailored interface backed by a single source of truth.

Bringing it to life

Delivered across twelve phases over four months. Each phase shipped a working slice — internal team training began in phase 6, before client-facing features even launched. The quote engine integrated Paystack for online payment with full webhook verification. The document vault enforced role-based access at the row level. Every action wrote to an audit log for compliance.

We spent two weeks shadowing the team during the first month of live use, tuning friction points in real time. The Phase 12 retrospective revealed the team had stopped using their old spreadsheets entirely within the first week.
