The Challenge

Golwel Fields Limited was managing procurement requests, quotations, and client communications through email, phone calls, and spreadsheets. There was no centralised system for tracking RFQs from submission to delivery, no self-service portal for clients to view quotations or track orders, and no efficient way to generate professional quotations with pricing. The company needed a digital platform to streamline their procurement operations and enhance client experience.

Build a three-surface platform: (1) public marketing site with service categories, sample items, and RFQ submission; (2) secure client portal with RFQ tracking, quotation viewing/approval, order tracking timeline, and messaging; (3) administrative dashboard with RFQ workflow management, quotation builder with PDF generation, order tracking, client management, and comprehensive reporting.

What We Built

RFQ System (Public)

Multi-step RFQ submission with file uploads, multi-item line entry, region picker, reference number generation, and email confirmation with public tracking by reference and email.

Client Portal

Secure client access with login/register/password reset, dashboard, RFQ history, quotation viewing and approval/rejection, order tracking timeline, and integrated messaging.

Admin Dashboard — Core

Centralised administrative dashboard with KPIs, RFQ inbox and workflow (status state machine), quotation builder with PDF generation, order/delivery tracking, client management, and sample items management.

Quotation Builder

Dynamic quotation generation with line items, pricing, terms, and professional PDF output for client delivery.

Content Management System

Full CMS with pages management, blog with categories, testimonials manager, contact inbox, and configurable settings (branding, SEO defaults, contact information).

Order Tracking

End-to-end order tracking with status updates, delivery timeline, and client visibility through the portal.

Reports & Analytics

Admin reports including RFQs by category/region, conversion funnel analysis, and revenue tracking with CSV/PDF export capabilities.

Role-Based Access Control

Multi-admin roles with granular permissions (super_admin, procurement_officer, content_editor, viewer) and comprehensive activity logging.

WhatsApp Integration

Floating WhatsApp button with context-aware prefilled messages, click analytics, and integrated communications.

Communications

Automated email notifications for RFQ received, quotation sent, and order updates with configurable notification preferences.

The Outcome

Results achieved

Complete procurement platform delivered across multiple phases. RFQs are now submitted, tracked, and managed through a single system. Professional quotations are generated instantly with PDF output. Clients have real-time visibility into their requests and orders. Administrative efficiency improved with automated workflows, reporting, and role-based access control.
